For our Secretariat team, we are looking for an executive secretary who knows what it takes to support management in a proactive, modern, and digitally skilled manner. A professional who feels at home in an environment where interests converge and where good preparation makes the difference between talking and deciding.


What are you going to do?

As an executive secretary, you are confident and assertive, and you are the linchpin of the management team. With your proactive attitude and foresight, you support and assist the Director of Water Systems and Water Safety and the Director of Wastewater Chain and Digital Information. You are highly digitally skilled and apply this in your daily work. You actively contribute ideas, anticipate situations, facilitate them, and, depending on the situation, take the initiative yourself if necessary. This requires a good understanding of the topics that the management team is working on.

In addition, you are responsible for managing the entire management meeting process: from preparation to recording and follow-up.  You will draw up agendas in consultation with the chair and members, monitor the quality and consistency of documents, and ensure that information is provided accurately and in a timely manner. During meetings, you will clearly record decisions, actions, and agreements and monitor their follow-up.

You are an experienced professional with good empathy who maintains an overview and brings calm. You feel responsible for the ins and outs of day-to-day operations. You are good at assessing internal and external relationships, understand how decision-making works at management level, and know how to operate independently and carefully in this regard. You think ahead, are accurate and critical, and work and think systematically. You are flexible, stress-resistant, and able to switch gears quickly.

You are in charge of the complex schedule management of two directors. You plan and monitor the fulfillment of appointments and ensure the correct prioritization. You process and monitor incoming emails, digital mail, and correspondence. You work closely with the board secretary and the rest of the secretaries to make working agreements for the entire management team. Together, you are responsible for the smooth flow of information between the board, management, and the civil service organisation. To ensure that there is a physical point of contact in our office every day for the board, management, and civil service organisation , your working days organisation Tuesday, Wednesday, Thursday, and Friday.

You communicate clearly and convincingly, both verbally and in writing, and easily connect with employees, managers, and other organizations. You are reliable, accessible, and discreet. You naturally use digital tools and systems to structure information and efficiently support processes. You enjoy organizing meetings and small events. You have a natural curiosity to develop yourself and are happy to take on tasks that suit your qualities.


You also have:

  • Completed MBO+ education, preferably in secretarial/administrative studies.
  • Relevant multi-year work experience in a similar position and job level.
  • Experience in preparing, recording, and following up on decision-making
  • Strong written and verbal communication skills
  • Digitally literate and experienced with digital document and information management
  • Familiarity with and understanding of administrative relationships and decision-making processes.

  • Initially a fixed-term contract (1 year), with the prospect of a permanent contract.
  • A salary of up to €4478 gross per month for full-time employment (36 hours per week).
